2. Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details: your name, postal and delivery addresses, email address, telephone number and account details.
- Order and payment information: products purchased, order history, delivery details, transaction records and payment status. Payment card information is handled by our payment providers; we do not need your full card number to manage your order.

- Website and device information: IP address, browser and device details, approximate location derived from your IP address, pages and products viewed, referrals, clicks, session information and cookie or similar technology identifiers.
We collect information directly from you and automatically when you use our website. For professional outreach, we may obtain business contact details from publicly available directories of veterinary professionals, practice websites, public professional registers and Companies House. We use an email verification service to check whether an address is valid before contacting you. We do not buy lists of personal data. We may also receive information from our ecommerce platform, payment and delivery providers, analytics and advertising partners, and other service providers where they are involved in your interaction with us. If you give us information about someone else, such as a gift recipient, please ensure you are entitled to do so.
We do not intentionally collect special category personal information or criminal offence information through our ordinary website and sales activities. Please avoid including sensitive information in general enquiries unless it is necessary for us to help you.
3. How and why we use information
| Purpose | Usual lawful basis |
|---|---|
| Process purchases, take payment, deliver products, handle returns and provide customer support relating to your order. | Performance of a contract with you, or steps you ask us to take before entering one. |
| Respond to enquiries, manage our relationship with customers and business contacts, and improve our products and service. | Our legitimate interests in operating and improving our business, except where another basis applies. |
| Keep accounting and tax records, meet legal requests and comply with other applicable obligations. | Compliance with a legal obligation. |
| Operate, secure and troubleshoot the website, prevent fraud, and protect our business and customers. | Our legitimate interests in maintaining a safe and effective service, or compliance with a legal obligation where applicable. |
| Analyse website use and measure advertising performance. | Our legitimate interests in understanding and improving our website and advertising, where permitted, and consent where required for non-essential cookies or similar technologies. |
| Contact relevant veterinary and animal-care professionals about our equine and canine nutrition products and record responses and objections. | Our legitimate interests in explaining products relevant to their professional work, subject to your right to object and the electronic marketing rules that apply to the recipient. |
| Send marketing about our products, offers and news. | Your consent where required. Where the law permits, we may use the existing customer exception for our own similar products, subject to an opt-out when we collect your details and in every marketing message. We also rely on legitimate interests where appropriate under data protection law. |
For direct marketing emails, our lawful basis is consent where required or, for business contacts, legitimate interests where the electronic marketing rules permit.
We may use your order and interaction history to make our communications more relevant. You can stop marketing emails at any time using the unsubscribe link in an email or by contacting us. Withdrawing consent does not affect earlier lawful use of your information. We will keep a limited suppression record so we can honour an opt-out.
Where we need information to fulfil an order or comply with law and you do not provide it, we may be unable to complete the transaction. We will tell you if this applies.
4. Cookies and similar technologies
Our website uses necessary cookies to make features such as the basket and checkout work. We may also use analytics, preference and advertising cookies or similar technologies to understand site use and improve our communications. Where required, we ask for your consent before using non-essential technologies. You can review or change your choices through any cookie controls provided on our website, and manage cookies in your browser. Blocking some cookies may affect how the site works.
5. Who we share information with
We share personal information only where it is needed for the purposes described in this policy. Recipients may include:
- Shopify, which hosts and powers our online store. See Shopify's privacy policy for information about its own handling of personal information.
- Payment providers, delivery and fulfilment partners, website hosts, IT and customer support providers, email or marketing service providers, and providers that verify professional email addresses.
- Analytics and advertising providers, subject to your cookie choices and applicable law.
- Professional advisers, regulators, courts and law enforcement authorities where necessary or required by law.
- A buyer or successor if our business or assets are sold or reorganised, subject to appropriate safeguards.
We may also share information within our corporate group where necessary for the purposes described above. We do not sell your personal information as a standalone list.
6. International transfers
Some of our providers may process information outside the UK, including in countries that have different data protection laws. Where the law requires it, we use a recognised adequacy decision or appropriate safeguards, such as approved contractual terms, and take any additional steps needed to protect the information. You can contact us for more information about the safeguards relevant to your information.
7. How long we keep information
We keep personal information only for as long as needed for the purpose for which we collected it, including any legal, tax, accounting or reporting requirements. We normally retain order and related business records for up to six years after the end of our relationship with you, although a longer or shorter period may apply where the law or a specific need requires it. We retain customer marketing information until you opt out or it is no longer needed. Professional outreach details and objection records follow the periods described in section 13. We review retention periods and securely delete or anonymise information when it is no longer required.
8. Security
We use appropriate organisational and technical measures to protect personal information against unauthorised access, loss, misuse and disclosure. No internet transmission or storage method can be guaranteed to be completely secure. If you create an account, please keep your login details confidential.
9. Your rights
Depending on the circumstances and applicable law, you may have the right to request access to your personal information; ask us to correct or erase it; restrict or object to its use; and receive certain information in a portable format. You can object at any time to the use of your information for direct marketing. Where we rely on consent, you can withdraw it at any time.
To exercise your rights, contact privacy@tharos.co.uk. We may ask for information to verify your identity before responding. You can also complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint/. We would welcome the chance to address your concern first. If you are in the European Economic Area, you may also have the right to complain to your local data protection authority.
10. Other websites
Our website may link to other organisations' websites or services. Their privacy practices are governed by their own notices, which we encourage you to read.
11. Changes to this policy
We may update this policy as our services or legal requirements change. The current version will be posted on this page with its updated date. Where required, we will tell you about significant changes by other appropriate means.

13. Professional and business contact outreach
If we obtained your professional details from a public source rather than from you, we use them to send a short sequence of relevant emails about EquiNectar or CaniNectar and to record our contact with you. Our lawful basis under data protection law is our legitimate interests described above. We assess relevance to your role and respect your right to object. We will not send an unsolicited marketing email where the applicable electronic marketing rules require consent that we do not have. In particular, the rules for sole traders and some partnerships differ from those for corporate subscribers.
You can object to this outreach at any time by replying "no thanks" to an email or writing to privacy@tharos.co.uk. We will stop marketing to you and retain only the details needed on a do-not-contact list to honour your request. We do not sell or share professional contact details for another organisation's marketing.
If you do not respond and do not become a customer, we delete your professional outreach details 24 months after our last contact. We retain the minimal do-not-contact record for as long as needed to prevent further contact. Customer and order information is retained as explained in section 7.
